SupplierVault has three plans, Essentials, Professional and Enterprise, priced by how many suppliers you manage. You can add extra suppliers to any plan. Every new organisation starts with a free month that includes everything. You can see your plan, supplier count and AI questions used on the "Plan" tab of the account panel (top right).

Paying yearly gets you 12 months for the price of 10. Every plan includes unlimited users.
Extra suppliers
If you're just over your plan's limit, you don't have to move up a plan. Add blocks of 25 suppliers for £49 a month each, on any plan. Email hello@suppliervault.co.uk and we'll add them the same day.
Example: you're on Essentials (50 suppliers) and need 70. Two extra blocks give you 50 + 25 × 2 = 100 suppliers for £149 + £49 × 2 = £247 a month. For 150 suppliers, Essentials with four blocks is £149 + £49 × 4 = £345 a month, while Professional is £399 and adds the supplier portal, one-click checks, sourcing and more.
What each plan includes
- Essentials: onboarding forms with named sign-off, contract renewals and notice dates, purchase requests, bank detail fraud checks, tiering, spend and invoices, offboarding, audit trail and reports, evidence packs and auditor access, purchase sign-off limits, retention and legal hold, cover while away, custom roles, company sign-in locked to your own Microsoft tenant or Google domain, the Procurement Act 2023 module, email reminders, the weekly email and Microsoft Teams channel posts, the Documents page with 5 GB of document storage, the calendar feed, spreadsheet import and export, the read-only connections to Xero, QuickBooks Online, Sage Accounting, Sage 200 and Microsoft Dynamics 365 Business Central (once each is switched on for the service) and the AI assistant.
- Professional: everything in Essentials, plus the supplier portal and e-signatures, one-click Companies House, sanctions and Modern Slavery checks, financial health indicators from Companies House, Companies House weekly monitoring, monthly sanctions re-screening, compliance packs for every area, sourcing and quote comparison, category plans, third-party risk, AI governance, reviews, review cycles and questionnaires and service improvement, access by area, teams with their own areas, modules and sign-off rules, and 25 GB of document storage.
- Enterprise: everything in Professional, plus single sign-on with your own identity provider (SAML), 100 GB of document storage, API access, automatic user syncing from Microsoft Entra ID or Okta (SCIM), groups of companies and multi-academy trusts (a group organisation that sees a read-only summary of each member company's suppliers), priority onboarding of your suppliers, help importing your supplier list, changes to our data processing agreement where your legal team needs them, and help setting up. Up to 300 suppliers, and more on request.
If you joined on an earlier plan, you keep everything it included, and your supplier limit and price stay as agreed.
The free month
A new organisation starts on a 30-day free trial with everything in Enterprise included (including the API, groups of companies and automatic user syncing) except single sign-on with SAML, for up to 300 suppliers and 1,000 AI questions. From 10 days before the end, admins see a short note counting down, which they can hide (it comes back once, on the last day). The Plan tab shows the exact end date.
Founding customer offer
The first 20 organisations to sign up get 3 months free instead of one, and their price is fixed for 2 years.
What happens when a trial or plan ends
Nothing is deleted. Your organisation becomes read-only: you and your team can still sign in, view everything and download it, but you can't add or change things until you choose a plan. You'll see a banner, and edits show "Your plan has ended, so changes are paused." While read-only, the AI assistant, supplier portal links, e-signatures, the API and the morning read from your accounting software are paused, and Read now, the accounting choices and Check matches changes are refused until you renew. A Sage Accounting connection lapses after 31 days without a read, so you may need to connect it again after renewing. Automatic user syncing can't add people, but can still switch them off.
A paid plan ends the same way if it isn't renewed: the organisation becomes read-only 14 days after the date it's paid up to. Nothing is deleted, and it carries on as soon as the plan is renewed.
Supplier limits: what counts
When you're within 3 of your limit, admins see a short note saying how many places are left. They can hide it; it comes back once if the limit is reached. At the limit, adding a supplier or reopening a closed one is refused: "Your plan includes up to N suppliers. Close a supplier you no longer use, add 25 more suppliers for £49 a month, or contact us to upgrade." A spreadsheet import skips rows over the limit and tells you how many. The footer of the app shows "Plan · N of LIMIT suppliers".
AI assistant allowance
Each question asked counts once, however many steps the assistant takes to answer it (for example drafting an email). The contract and invoice readers use the same allowance. The count is shared by your whole organisation and resets on the 1st of each month. The Plan tab shows "X of Y questions used this month (fair use)". If you run out you'll see a message, and you can wait for the 1st or contact us for more. See The AI assistant.
What a locked feature looks like
SupplierVault tells you once, quietly, and doesn't nag. Anything your plan doesn't include is greyed out with a small chip naming the plan it comes with (for example Professional). Where the feature would be, one short line says so, for example "Sourcing and quote comparison are included from the Professional plan." Admins also see Contact us to upgrade., which opens an email to us; other people just see which plan has it. There are no pop-ups.
- Pages in the menu are greyed with the plan chip. Opening one shows what it does, the one line, and "Anything you saved before is kept."
- Modules and compliance packs in Modules & forms are greyed with the chip and can't be switched on.
- Buttons such as "Check now", "Look up" and "Send for signature" are greyed with the chip and can't be pressed.
- Sections and reports that belong to a higher plan, such as Governance on a supplier record or the Supplier scorecards and Service improvements reports, are hidden.
- In the account panel, Enterprise features (API keys, automatic user syncing and groups of companies) show the same one line.
Free for your suppliers
Your suppliers never pay. Portal links and supplier accounts are free for them, and they don't count as users.
Changing plan
Click "Change plan" on the Plan tab, or email hello@suppliervault.co.uk. We'll switch it the same day. You can't change plan yourself inside the app. Moving down to a smaller plan doesn't delete anything: features your new plan doesn't include are locked and their data kept.
Paying
Every plan is paid by invoice, monthly or yearly in advance. Paying yearly gets you 12 months for the price of 10. There's no card to enter in the app.
VAT
Prices exclude VAT. SupplierVault isn't VAT registered yet, so no VAT is charged. Once we register, VAT will be added at the standard rate.
Good to know
- Example data never counts towards your supplier limit. Remove it with one click when you're ready.
- Need more than 300 suppliers? Enterprise limits and allowances can be raised by agreement.
Document storage
Single sign-on with SAML is the one Enterprise feature not included in the free month.
Each plan includes storage for uploaded documents: Essentials 5 GB, Professional 25 GB, Enterprise 100 GB, and 25 GB in the free trial. Links to SharePoint, OneDrive or Google Drive never count. The Documents page and the Plan tab show how much you've used. When it's full, new uploads are paused (links still work) until you remove files or ask us for more. See Documents.
