SupplierVault can email you what needs you, so you don't have to open the app to find out. You get a short email on mornings when something is overdue, due today or waiting for your sign-off, and a summary of the week ahead on Mondays. Each person chooses how often, or turns them off.
Where to change it
- Open the account button (your initial and organisation name, top right) and choose the You tab.
- Under Email reminders, choose one of:
- Daily, when something needs me (and Mondays), the default
- Weekly summary on Mondays only
- Off
Your choice applies to every organisation you belong to. Reminders are part of the live service on every plan.
When emails are sent
- Emails go out each morning, at around 7am UK time in winter and 8am in summer.
- Daily: you only get an email on a day when something is urgent: a task overdue or due today, a sign-off waiting for you, a contract deadline in the next 7 days or a renewal review starting today, or a certificate expiring in the next 7 days. Quiet days mean no email.
- Mondays: instead of the daily email you get "Your week in SupplierVault", including what's due this week (the next 7 days). If there's nothing at all, no email is sent.
- Nobody gets the same email twice in one day.
What's in the email
| Section | What it lists |
|---|---|
| Overdue | Your open tasks past their due date. |
| Due today | Your tasks due today. |
| Waiting for your sign-off | Purchase requests where you're the budget holder, or a sign-off level you can sign. See Approval limits. |
| Contract deadlines on your suppliers | Notice deadlines in the next 30 days, deadlines already passed before the contract ends, and renewal reviews starting. |
| Certificates and documents expiring | Certificates and documents expiring in the next 30 days, or expired in the last 30. |
| Due this week | Mondays only: tasks due in the next 7 days. |
The subject tells you the headline, for example "SupplierVault: 1 overdue, 1 due today, 1 to sign off". Each email has an Open SupplierVault button. It comes from SupplierVault <no-reply@suppliervault.co.uk>.
Whose items you get
- Tasks are the ones assigned to you. SupplierVault matches you to your stakeholder record by your sign-in email, so make sure your email is on the Stakeholders page. Without a match, no reminders are sent.
- Contract deadlines and certificates are for the suppliers you manage (you're the supplier manager).
- If your organisation uses access by area, you only get items for the areas you can see.
- Example data is never included.
- Reminders stop while your organisation's trial or plan has ended.
Good to know
- If emails don't arrive, check your junk or quarantine folder and ask IT to allow no-reply@suppliervault.co.uk.
- Reminders don't replace the notifications bell or the calendar feed. Use the calendar feed if you want deadlines in Outlook, Google or Apple Calendar.
- There are no Teams or text message alerts.
- The public demo doesn't send emails.
The weekly email
Separately, you can switch on a Monday summary, Your week in SupplierVault, in Account › You. Admins can send it to team mailboxes too. See Weekly email and Microsoft Teams posts.
