Prices exclude VAT. SupplierVault isn't VAT registered yet, so no VAT is charged today; once we register, VAT will be added at the standard rate. Every plan includes unlimited users. Assistant questions are a fair-use monthly allowance. Closed suppliers don't count towards your supplier limit. Storage allowances are for documents uploaded to SupplierVault; documents linked from SharePoint, OneDrive or Google Drive don't count. Supplier accounts and portal links are always free for your suppliers.

Common questions
What is supplier management software?
Supplier management software keeps every supplier's details, checks, contracts, renewals, risks and approvals in one place, so nothing depends on one person's spreadsheet or inbox. SupplierVault covers the whole life of a supplier, from the first request to the day they leave.
Do we need it if we already use spreadsheets and SharePoint?
Spreadsheets record what someone remembers to type. SupplierVault tells you what needs doing: notice deadlines before they pass, risk reviews that are due, forms waiting for approval and bank changes that need checking. You can keep your documents in SharePoint and link to them.
How is it different from procurement or purchasing software?
Purchasing tools focus on requests and purchase orders. SupplierVault includes purchase requests, but also onboarding and due diligence, contract renewals, governance reviews, service improvement, risk and offboarding.
What is a penny test?
A penny test is a small payment sent to a supplier's bank account, which the supplier confirms, before any real payment is made. With a call-back on a number you already hold and a Confirmation of Payee check, it greatly reduces the risk of change-of-bank-details fraud.
Can it work alongside ServiceNow or Jira?
Yes. People can keep raising requests in their helpdesk and add the ticket number to the purchase request in SupplierVault, which handles the checks, sign-off and purchase order.
Does it connect to our accounting software?
It can connect to Xero, QuickBooks Online, Sage Accounting, Sage 200 or Microsoft Dynamics 365 Business Central, read only, on every plan. You connect your own account, and supplier bills and payments are then read in every morning and added to each supplier, with bills held when bank details aren't verified. SupplierVault never changes anything in your accounting software, never reads bank details and never moves money. The connections are built and are being switched on now, so ask us and we'll switch yours on. Sage 200 and Business Central are the newest, so we'll set those up with you. Sage 200 Professional also needs your Sage partner to set up the Sage 200 API connection first. Other systems can use the API on the Enterprise plan.
Where is our data stored?
In a database hosted in London, UK. Each organisation's data is kept separate at the database level, and only the last 4 digits of a bank account are stored.
How much document storage is included?
Documents you upload count towards an allowance of 5 GB on Essentials, 25 GB on Professional and 100 GB on Enterprise. Documents you link from SharePoint, OneDrive or Google Drive stay where they are and don't count. Every plan has a documents page where you can search documents across all your suppliers.
Can we get updates in Microsoft Teams or by email?
Yes, on every plan. SupplierVault can post notifications to a Microsoft Teams channel, and send an optional weekly summary email of what's due, which can go to a team mailbox.
Do you support SAML single sign-on?
Yes, on the Enterprise plan. We set up SAML single sign-on with you for Okta, Microsoft Entra ID and other identity providers that support SAML. On every plan, sign-in with Microsoft 365 or Google can be switched on for you on request, and admins can then make company sign-in the only way in.
How does the free month work?
Every new organisation gets its first month free with everything in Enterprise included, for up to 300 suppliers and 1,000 assistant questions, and no card is needed. Choose a plan before the month ends to carry on. If you don't, your data is kept and you can still view and download it.
Is there a discount for paying yearly?
Yes. Pay yearly and you get 12 months for the price of 10: £1,490 for Essentials, £3,990 for Professional and £7,990 for Enterprise.
What happens if we reach our supplier limit?
Add 25 more suppliers for £49 a month on any plan, move to a bigger plan, or close suppliers you no longer use. Until then you can't add more suppliers. Nothing is deleted, and closed suppliers don't count.
Can we switch off the parts we don't use?
Yes. SupplierVault is modular. The Dashboard, onboarding, tasks and stakeholders are always on, and an admin can switch these 12 modules on or off in Modules & forms: Procurement & sourcing, Purchase requests, Supplier portal, Governance framework, Service improvement, Third-party risk, AI management (ISO/IEC 42001), Payments & accounts, Spend & consumption, Renewals & notice, Offboarding and AI assistant. Start from one of four ready-made setups (Supplier management + procurement, Supplier management office, Finance-led onboarding or Third-party risk office), then switch single modules on or off and edit any form or question. Switching a module off hides it but never deletes its data. Procurement & sourcing, Supplier portal, Governance framework, Service improvement and Third-party risk come with the Professional plan and above. Prices are by plan, not by module.
Can different teams use it, such as procurement and supplier management?
Yes, on the Professional plan and above. In Settings › Teams an admin sets up each team (procurement, supplier management, or a team that does both), the areas it covers, the modules it sees and its go-live sign-off rules, including an optional second sign-off. When a supplier goes live it passes to the supplier management team for its area, which can be asked to accept it. With access by area on, each team sees only its own suppliers, plus company-wide totals without other teams' supplier names. A team that does both keeps its suppliers, and with no teams set up everyone works as one team.
Does the AI assistant cost extra?
No. Each plan includes a fair-use monthly allowance of assistant questions: 100 on Essentials, 300 on Professional and 1,000 on Enterprise. It's optional, and an admin can switch it off.
Do prices include VAT?
No. Prices exclude VAT. SupplierVault isn't VAT registered yet, so no VAT is charged at the moment. Once we register, VAT will be added at the standard rate, and we'll tell you before it applies.
What is the founding customer offer?
The first 20 organisations to join get 3 months free instead of one, and their launch price is fixed for 2 years. In return we ask for a short monthly feedback call and permission to share your story. Get in touch through the contact page to apply.
