Every organisation is different. You can tailor what a supplier record shows so people only see what matters to them, in your own words. All of this is in Setup → "Modules & forms". In the live service only an admin can change it.
Show or hide sections: "What each supplier record shows"
"Hide what your business never uses, or show it only for some tiers or areas." For example, show Third-party risk only for T1 and T2 Technology suppliers, or switch off Assurance and regulatory records if you aren't regulated.
The table has a row for each section you can control:
| Record tab | Sections |
|---|---|
| Summary | Supplier contacts and portal access |
| Contract and money | Contract, notice & renewal; Obligations and milestones; Consumption & spend; Payments & accounts; Purchase requests and orders |
| Risk and compliance | UK company checks; Third-party risk; AI use; Assurance and regulatory records; Tier assessment |
| Performance and relationship | Performance scorecard; Governance; Continuous improvement; Continuity, exit & offboarding |
| Documents and history | Documents |
Core parts always show: people, tasks, the forms list, notes and activity.
How to set a rule
- Use the "Show" switch to hide a section everywhere. A hidden row reads "Hidden on every supplier".
- Under "Shows for these tiers", every tier starts green (✓ T1 ✓ T2 ✓ T3 ✓ T4), so the section shows for all suppliers. Click a tier to hide the section for suppliers in that tier: it turns red with a cross (✕). Click it again to turn it back to green. At least one tier stays green; to hide a section everywhere, use the Show switch. (T1 strategic, T2 key, T3 approved, T4 transactional.)
- To show it only for some areas, choose them under "Areas". Tick none for all areas.
Rules save immediately ("Saved. Records update straight away"). If you tick both tiers and areas, the section shows only for suppliers that match both.
Some sections are also hidden when your plan doesn't include them: Third-party risk and AI use, Governance, and Continuous improvement are included from the Professional plan. Answering What you buy also sets rules for the assurance, consumption, AI and third-party risk sections.
Rename labels to your own words
If your organisation says "Budget holder" rather than "Business owner", you can rename it everywhere.
- Click "Rename labels on supplier records".
- Open any supplier. Every section title and field label now has a dotted outline.
- Click one, type your own name and click away. It changes on every supplier, and a message confirms the old label "now shows as" the new one.
- Click "Finish renaming" when you're done.
To undo one label, clear its text and it goes back to the standard name. Once labels are renamed the panel shows "N labels renamed" and a "Use standard names" button to reset them all. The table shows your name with "Standard name: …" underneath.
Add your own fields
Information your process collects that isn't built in goes into a form. In the forms table, click "Edit fields" on the form where the question belongs (for example the Onboarding intake request or the Supplier set-up form), then use "Add a field". You can also create a whole new form, such as a site induction record. Answers are saved on the supplier's record against that form. See Modules and forms for the answer types and steps.
A yes/no question you add to the intake form can also be used as a rule that decides which other forms are required.
Areas and tiers
Most rules depend on a supplier's area and tier. Areas are set under "Supplier areas" on the same page; tiers are explained in Tiering.
