Contract obligations and milestones

Track what each side committed to in the contract: reports, price reviews, audits, service credits, insurance and milestones, with owners, due dates and repeats.

Contracts are full of promises that are easy to forget once signed: monthly management information, an annual price review, a right to audit, insurance certificates, service credit calculations, payment milestones. The Obligations and milestones section records each one with an owner and a due date. Repeating obligations roll on to the next date when you mark them met, and anything overdue is flagged.

Where to find it

On a supplier, Contract and money tab, section Obligations and milestones. It shows once the supplier is past onboarding, in Negotiation, or already has obligations.

Add an obligation

  1. Click Add obligation.
  2. Fill in What has to happen, e.g. "Monthly service report by the 10th".
  3. Choose Whose obligation: "The supplier's" (the default) or "Ours".
  4. Pick the Type, the Our owner (defaults to the supplier manager), the Next due date and how it Repeats.
  5. Optionally add the Contract clause, e.g. "Schedule 3, para 4".
  6. Click Save obligation. A title and due date are required.

Fill them in from the contract

Use the AI contract reader on the same tab to read a contract PDF. It suggests service credits and obligations with type, owner side, repeat and due date. Tick the ones you want and apply them; they're saved with the source "contract reader". Always check the suggestions against the contract. See Contract and invoice reader.

Statuses

StatusWhen
Overdue (red "N days overdue")The due date has passed and it isn't met.
Due soon (amber "Due in N days")Due within 14 days.
OpenDue later (grey date), or "No date".
DoneA one-off obligation that has been met.

The section header shows how many are overdue.

Mark an obligation met

  1. Click Mark met and add a note or evidence link if you like.
  2. For a one-off obligation, it's recorded as met and becomes Done.
  3. For a repeating one, it records "Last met …" and moves the due date on.
Next due = previous due date + the repeat period (not today + the period)

Example: a quarterly report due 10 January, marked met on 15 January, is next due 10 April. This keeps the schedule in line with the contract even when something is late. Every completion is kept in the history.

To delete an obligation, click Remove and then click again to confirm.

Where obligations show up

  • Needs attention on the dashboard: overdue obligations ("our obligation overdue", red when it's yours, amber when it's the supplier's) and those due within 7 days.
  • The Obligations register report.
  • Section 4 of the supplier's QBR pack: overdue items, those due within 92 days and how many were met this quarter.
  • The calendar feed in the hosted service, with reminders 7 days and 1 day before. See Contracts and renewals.
  • The API, for read keys. See API.

Good to know

  • Obligations aren't turned into tasks. Use the dashboard, the report or the calendar feed to stay on top of them, or add a task yourself if you want one assigned.
  • Obligations are included in every plan.
  • Obligations for suppliers that are exiting or closed are left out of the calendar feed.
